Busy!

But being busy doesn't always mean you're effective.

This is where the distinction between workload and workflow comes in.
Workload is the volume of tasks, projects, and deadlines on your team's plate.
It's the 'what' that needs to be done.
Workflow is how that work moves through your agency.
It's the systems, processes, and behaviours that carry a project from brief to delivery.
Workload is largely out of your control. Clients will always bring urgent requests. Campaign calendars will always collide. But workflow? That's entirely within your power.
Small inefficiencies in workflow add up faster than you realise.
A lost brief here, a miscommunication there, a tool update duplicated three times - each feels minor, but collectively they slow delivery, frustrate your team, and reduce profitability.
Agencies that focus on workflow don't just survive busy periods. They thrive in them.
Simplify your systems
Audit the tools you use and eliminate duplication. Make one place the source of truth. Complexity slows everything down.
Standardise handovers
Most chaos happens between people. A simple checklist, template, or 10-minute handover call can prevent hours of confusion later.
Protect space for reflection
Build in short, regular check-ins to spot friction points early. Ten minutes a week can save hours of firefighting.
Assign ownership clearly
When everyone knows who owns what, decisions get made faster and fewer things fall through the cracks.
Being busy is easy. Filling your team's diary is easy. But being effective - delivering smoothly, profitably, and sustainably - takes intention.
Next time you feel the agency is 'just busy', pause and ask:
Is this workload overwhelming, or is the workflow letting us down?
